Terms of Service

Effective Date: December 21, 2025

Acceptance and Agreement

Visiting the Stone Heating and Air website, scheduling HVAC services, requesting estimates, or receiving any services from our team means you accept and agree to these Terms of Service in their entirety. Your agreement applies whether you contact us online, by phone, through email, or in person at your property. These terms govern all interactions between Stone Heating and Air and our customers including homeowners, renters with landlord authorization, business owners, property managers, and authorized representatives in Longmont and surrounding Northern Colorado communities. Disagreement with any portion of these terms requires you to discontinue use of our website and refrain from requesting or accepting services from Stone Heating and Air.

Communication and Contact Consent

Requesting services, submitting contact forms, or providing your contact information through any channel constitutes consent to receive communications from Stone Heating and Air. These communications may include appointment confirmations, service reminders, technician arrival notifications, billing statements, maintenance plan renewals, and seasonal service recommendations delivered by phone calls, text messages, or email to the contact information you provide.

You may opt out of non-essential marketing communications at any time by following unsubscribe instructions in emails, replying STOP to text messages, or contacting our office directly. Certain communications related directly to your scheduled services, safety concerns, billing matters, or appointment changes may still be necessary even after marketing opt-out to ensure proper service delivery.

HVAC Services We Provide

Stone Heating and Air specializes in residential and commercial HVAC services designed to maintain comfort, support safety, and optimize system performance in Colorado homes and businesses throughout all seasons. Our licensed technicians provide comprehensive services that may include heating system repair and replacement, air conditioning repair and installation, furnace diagnostics and tune-ups, ductwork evaluation, thermostat installation, preventative maintenance agreements, emergency repair services, complete system replacements, and commercial HVAC solutions.

Service recommendations are based on the actual condition of your HVAC system at the time of evaluation rather than predetermined sales quotas. Our technicians assess what your specific system needs to operate safely and efficiently based on manufacturer specifications, equipment age, and performance metrics observed during service calls. You agree to provide accurate information about your property characteristics, system history, and any modifications made to your HVAC equipment. You also agree to allow reasonable access to equipment locations, utility connections, and work areas required to complete diagnostic work, repairs, or installations safely.

Scheduling availability depends on current service demand, technician assignments, and seasonal workload fluctuations. Weather conditions, parts availability, and site conditions discovered during service may extend completion timelines beyond initial estimates. Stone Heating and Air makes reasonable efforts to communicate timeline changes promptly while working efficiently to complete services as quickly as quality workmanship allows.

System Inspections and Scope of Work

HVAC inspections and system evaluations are limited to the specific scope of work requested at scheduling and the system components reasonably accessible at the time of service. Comprehensive inspections typically include safety and operational checks, airflow measurements, electrical component review, refrigerant level assessment, condensate drain inspection, thermostat testing, and filter condition evaluation.

Findings and recommendations reflect conditions observed at the specific time of service based on current system operation and industry standards for equipment of similar age and type. HVAC systems are complex mechanical assemblies with components that degrade over time. Inspections identify current issues and predictable near-term failures based on observable wear, though they cannot predict all future problems. Hidden conditions behind walls, above ceilings, or within sealed components cannot be evaluated without invasive investigation that may not be included in standard service calls. Stone Heating and Air does not guarantee future system performance or equipment lifespan beyond what is explicitly stated in applicable manufacturer warranties or written service agreements.

Estimates and Pricing

Estimates or price ranges provided by Stone Heating and Air are based on information available at the time the estimate is prepared including your description of the problem, system age and type, and standard repair procedures for similar issues. Actual pricing may change if additional issues are discovered during service, if parts availability or costs change, if site conditions differ significantly from what was initially described, or if complications arise during repair work. Material costs fluctuate based on supplier pricing, manufacturer changes, and market conditions beyond our control. We communicate pricing changes as soon as they become apparent and obtain your authorization before proceeding with work that exceeds the original estimate by significant amounts.

Payment Terms

Payment is due upon completion of service unless alternative arrangements are made in writing before work begins. Accepted payment methods include major credit cards, debit cards, checks, cash, or invoicing for pre-approved commercial accounts. Maintenance agreements or service plans may require upfront annual payments or recurring monthly charges as outlined in the specific agreement terms provided at enrollment. Unpaid balances beyond agreed payment terms may be subject to late fees, suspension of maintenance plan benefits, or referral to collections agencies. Outstanding balances may prevent scheduling of future services until accounts are brought current.

Appointment Scheduling and Cancellations

Appointments may be scheduled through our online booking system, by phone during business hours, or through email communication. We encourage advance scheduling whenever possible to secure preferred service dates, particularly during peak heating and cooling seasons when demand increases significantly. Emergency services may be available for urgent situations involving complete system failures or safety concerns, though emergency service rates and availability vary.

If you need to reschedule or cancel an appointment, please notify Stone Heating and Air as soon as possible. Late cancellations made with insufficient notice or missed appointments without any communication may result in rescheduling delays or cancellation fees. Stone Heating and Air reserves the right to adjust scheduled appointments due to emergency service calls, technician unavailability, severe weather, or other operational circumstances beyond our control. We make reasonable efforts to communicate schedule changes as early as possible and work with you to find alternative appointment times.

Warranties and Liability

Stone Heating and Air is committed to providing quality workmanship and dependable service that meets industry standards. Certain services, replacement parts, or new equipment installations may be covered by manufacturer warranties that guarantee materials and workmanship for specified periods. Warranty terms and coverage duration are provided in writing at the time of service. Warranty coverage typically excludes damage caused by misuse, neglect, unauthorized modifications, failure to perform recommended maintenance, or conditions unrelated to our work.

To the fullest extent permitted under Colorado law, Stone Heating and Air and its owners, employees, and contractors are not responsible for indirect, incidental, or consequential damages related to HVAC system failures, loss of comfort, business interruption, or circumstances beyond our reasonable control. Nothing in these terms limits rights or responsibilities that cannot be lawfully limited under applicable Colorado state or federal law.

Privacy and Information Usage

Personal information collected through our website, scheduling systems, or service visits is used to provide requested services, communicate with customers, process payments, and maintain service records. Stone Heating and Air does not sell personal customer information. Limited information may be shared with trusted service providers including payment processors or parts suppliers only as necessary to deliver services or comply with legal requirements.

Updates to Terms

Stone Heating and Air reserves the right to revise these Terms of Service at any time as needed to reflect operational changes or legal requirements. Updates become legally effective immediately when posted on our website. Continued use of the website or services following any update constitutes acceptance of the revised terms.

Governing Law

These Terms of Service are governed by and construed in accordance with the laws of the State of Colorado without regard to conflict of law principles.
